Cancellation Policy:
We understand that sometimes unforeseen circumstances may arise, necessitating the need to cancel or reschedule riding lessons or training. To ensure fairness to both our instructors and other clients, we have implemented the following cancellation policy:
1. Cancellation Notification: Clients must provide a minimum of 48 hours’ notice for any cancellation or rescheduling of a riding lesson.
2. Late Cancellations/No Shows: Cancellations made less than 48 hours before the scheduled lesson time or failure to attend a scheduled lesson without prior notice will result in the full lesson fee being charged.
3. Exceptions: Exceptions may be made in cases of emergencies or extenuating circumstances, at the discretion of the management.
4. Rescheduling: Clients may reschedule a lesson without penalty if done so within the specified notice period of 48 hours.
5. Refunds: Refunds will not be issued for cancellations made within the 48-hour window or for no-shows.
6. Payment: Payment for lessons must be either made in advance or on the day of the lesson and will be processed according to the cancellation policy.
7. Group Lessons: For group lessons, the cancellation policy applies to individual participants, and any cancellation or no-show will be charged accordingly.
8. Special contracts which ask for exclusive access, retainers or priority bookings cannot be cancelled. These agreements are very limiting to the versatility of the business and must be upheld.
Please understand that our instructors dedicate their time and expertise to each lesson, and last-minute cancellations disrupt their schedules and affect their ability to accommodate other clients. We appreciate your understanding and cooperation in adhering to our cancellation policy.

Risk Assessment:
In our Risk Assessment we will take the following points into account and reserve the right to adjust the content of sessions or refuse to go ahead with training if any of the following points are unsafe:
1. Horse-Related Injuries: There is a risk of injury associated with handling and riding horses, including falls, kicks, and bites. Riders could sustain injuries such as fractures, concussions, or bruises. Proper safety protocols and protective gear must be enforced to mitigate these risks.
2. Unpredictable Horse Behaviour: Horses are living animals with unpredictable behaviour. They may spook, bolt, or exhibit other unexpected reactions, potentially causing harm to riders, handlers, or bystanders. Assessing each horse’s temperament and providing appropriate training and supervision are essential to minimize this risk. Clients of Fred Hodges Training accept this risk on booking and accept responsibility for their own horse’s behaviour.
3. Facility Hazards: Riding facilities may have various hazards such as uneven terrain, slippery surfaces, or obstacles in the riding area. Regular inspections and maintenance of the facility are crucial to ensure a safe environment for riders and horses alike. Riders share the responsibility to risk assess riding areasbefore and during training sessions.
4. Client Fitness and Experience Levels: Clients with varying levels of riding experience and physical fitness may pose a risk to themselves and others during riding lessons. Assessing clients’ abilities and providing suitable instruction and supervision are necessary to prevent accidents and injuries. Clients will ensure they report any fitness concerns to Fred Hodges Training so we are able to maintain your safety throughout training.
5. Inadequate Safety Gear: Failure to use proper safety gear, such as helmets and riding boots, increases the risk of injury in the event of a fall or accident. Enforcing the use of appropriate safety equipment is vital for the safety of all participants. Clients agree to replace broken safety equipant and to ensure their equipment meets current guidelines as published on the British Horse Society website.
6. Weather Conditions: Adverse weather conditions, such as heavy rain, strong winds, or extreme temperatures, can impact the safety of riding activities. It’s essential to monitor weather forecasts and make informed decisions regarding lesson cancellations or adjustments to ensure the safety of everyone involved.
7. Emergency Response Preparedness: In the event of an accident or injury, we have a well-defined emergency response plan. All coaches are regularly updated on first aid knowledge, emergency procedures and communication channels to contact medical professionals or emergency services promptly.
8. Liability and Insurance: As a freelance riding instructor, there are inherent risks associated with conducting riding lessons. Ensuring appropriate liability insurance coverage is in place to protect against potential legal claims or financial liabilities resulting from accidents or injuries during lessons. Fred Hodges Training Coaches are members of the British Horse Society Accredited Coaches scheme.
9. Client Health Conditions: Clients may have pre-existing health conditions that could affect their ability to participate safely in riding activities. Clients will inform Fred Hodges Training of any health conditions which may affect their riding so that lesson plans can be adapted accordingly to accommodate limitations.
10. Animal Welfare: Ensuring the welfare and proper care of the horses involved in riding lessons is paramount. This includes maintaining appropriate health and nutrition standards, monitoring for signs of distress or injury, and providing adequate rest and recovery periods between activities. We reserve the right to refuse training without refund if these conditions are not met. In the event of a dispute we would defer to British Horse Society Welfare.
